Preparing evidence packs that survive assurance testing

Organized paperwork folders on a desk

When an ESG reporting assurance audit begins, the first friction is rarely methodology—it is missing owners and orphan files. Teams that finish on schedule usually send a structured evidence pack before the first site visit.

Start with the mapping sheet

List every metric proposed for assurance in one workbook: disclosure reference, unit, reporting period, system of record, and named owner. If two people claim the same KPI, resolve that before we sample.

Attach source extracts, not summaries

Utility PDFs, payroll extracts, and shipping manifests beat dashboard screenshots. We need to trace a sampled line item to a primary document. Summaries are useful as a cross-check, not as evidence.

Preserve period cuts

Export files should show the exact reporting window. Mid-year system migrations are fine if you document the cutover and reconcile the two halves.

Flag known weaknesses early

If contractor hours are estimated or a meter was offline for three weeks, tell us in the intake note. Surprises during fieldwork cost calendar days that boards rarely have.
